These Policies apply to purchases from and services performed by Handpiece Solutions, Inc. (“Handpiece Solutions,” “we,” “us”). By placing an order, requesting service, or using our website, you agree to these Policies and any applicable Terms of Use.

1) Repair Warranty Policy (Service Warranty)

At Handpiece Solutions, Inc., we stand behind our work. This Limited Warranty applies only to repairs performed by Handpiece Solutions, Inc. and only to the specific repair performed and parts replaced, subject to the terms below.

Warranty Term

All repaired handpieces (electric oral surgical, high speed and low speed): 3–12 Month Limited Warranty*
The exact warranty term applicable to your repair will be stated on your invoice/estimate and may vary based on the repair performed and parts replaced.

How to Make a Warranty Claim (Customer Responsibilities)

  • Return the handpiece to Handpiece Solutions, Inc. for evaluation and testing.
  • Provide a copy of the original invoice and a written description of the issue.
  • Submit the claim within the applicable warranty period shown on your invoice/estimate.
  • Ensure the handpiece has been serviced only by Handpiece Solutions, Inc. since the covered repair.

What We Will Do (Our Responsibility)

If we determine the failure is due to defects in workmanship and/or parts we installed (under normal professional use and proper maintenance), we will correct the covered issue at no charge.

Turnaround and Return Shipping for Warranty Items

  • We will make commercially reasonable efforts to process confirmed warranty repairs promptly. Turnaround depends on the nature of the repair and parts availability.
  • Return shipping for confirmed warranty repairs is covered for U.S. customers using our standard shipping method. International customers are responsible for shipping/handling unless otherwise agreed in writing.

Exclusions (Not Covered)*

* Limited Warranty excludes abuse/misuse & normal wear items (incl. bearings).
This Limited Warranty also does not cover issues caused by or related to: drops/impact damage, improper lubrication/maintenance, improper sterilization, water intrusion/contamination/corrosion, operating outside manufacturer specifications (including repeated intentional over-extension of burs), unauthorized modification, or third-party service after our repair.

Important: Handpiece Solutions, Inc. reserves the right to determine warranty eligibility based on inspection and testing.


2) Repair Service Terms (Estimates, Approval, Shipping In)

  • Free estimate after receipt: Estimates are provided after we physically receive and evaluate the handpiece.
  • No repair without approval: We do not proceed with repair until you approve the estimate.
  • Scope changes: If additional issues are discovered during service that materially change the estimate, we will contact you for approval before proceeding.
  • Approval methods: Approval may be provided by phone, email, text, or written confirmation and constitutes authorization to proceed with the repair and bill the approved amount.
  • Inbound shipping: Unless we provide a prepaid label in writing, customers are responsible for packaging, selecting the carrier, and obtaining tracking/insurance when shipping items to us.
  • Risk of loss (inbound): To the maximum extent permitted by law, risk of loss or damage during inbound shipment remains with the sender.
  • Turnaround times: Any turnaround time provided is an estimate, not a guarantee, and may vary by complexity, testing requirements, and parts availability.

3) Terms of Sale (Pricing)

We strive to maintain competitive pricing. Prices, availability, specifications, and promotions may change due to manufacturer updates, supply conditions, or errors. We reserve the right to correct pricing or listing errors (see “Errors and Inaccuracies” below).


4) Payment Options and Billing Terms

Accepted Payment Methods

We accept Visa, Mastercard, Discover, PayPal, and (where approved) wire transfer or money order.

Open Account (Net Terms)

Open account billing may be available after credit approval. Unless otherwise agreed in writing:

  • Invoices are due within 30 days of invoice date.
  • Past-due balances may be subject to a late charge of 1.5% per month (or the maximum allowed by law, if lower).

International Orders

Orders shipping outside the United States must be paid prior to shipment unless otherwise agreed in writing.

Returned Payments / NSF Checks

Returned payments may be subject to a $35 processing fee (or the maximum allowed by law, if different).

Payment Method on File Authorization (Repair Customers)

We do not store full credit card numbers on our systems.

For customer convenience, we may keep a payment method on file only if you explicitly request and authorize us to do so. When authorized, the payment method is stored securely through our PCI-compliant payment processor (typically as a token, not your full card number).

Authorization and Use

  • A payment method on file may be used only for repair-related transactions you approve, such as authorized repair invoices, parts, shipping/handling, and other services you expressly authorize.
  • No repair is performed and no repair charge is processed without customer approval of the estimate, unless a specific fee is disclosed and authorized in advance in writing.

Revocation / Updates

  • You may revoke your authorization to keep a payment method on file at any time by contacting us.
  • If a stored payment method expires, is declined, or cannot be verified, we may request updated payment information before proceeding.

5) Shipping Policy

At Handpiece Solutions, Inc., we are committed to fast, reliable fulfillment to help keep your practice running smoothly. Please review the information below regarding order processing and special-order items.

Order Processing

In-stock items typically ship within 1–2 business days after order confirmation. Orders placed on weekends or holidays will be processed the next business day.

Tracking information is provided once your order has shipped (when available).

Special Order & Manufacturer-Sourced Items

Some products — including most NSK parts — are special-order items sourced directly from the manufacturer and are not stocked in-house.

These items generally ship within 7–10 business days, depending on manufacturer availability.

While we strive to provide accurate timelines, estimated ship dates are subject to change based on:

  • Manufacturer inventory levels
  • Production schedules
  • Supply chain conditions
  • Carrier transit times

If there is an unexpected delay, our team will notify you with updated information and available options.

Shipping & Transit Times

Delivery timelines vary depending on the carrier and selected shipping method. Once your order leaves our facility, transit times are managed by the shipping provider.

Oversized or Heavy Packages

A $15 shipping fee generally applies to merchandise up to 5 lbs within the contiguous United States that is not oversized. Shipments over 10 lbs or with oversized dimensions may incur additional shipping charges based on carrier rates and destination. When applicable, we will communicate this in advance whenever possible.

Address Accuracy

Please ensure all shipping details are accurate at checkout. We are not responsible for delays or additional charges resulting from incorrect or incomplete address information.

Risk of Loss / Carrier Performance

Once a shipment is tendered to the carrier, delivery timing and transit performance are controlled by that carrier. We are not responsible for carrier delays, service interruptions, weather events, or missed delivery estimates. We will assist with reasonable claim documentation where possible, subject to carrier rules and declared value/insurance.

Restricted Destinations / Items

Shipments to Alaska, Hawaii, Puerto Rico, Canada, and other international destinations may require air service and will incur additional shipping charges. Certain items (including some liquids or regulated/hazardous materials) may be restricted or unavailable for shipment to specific destinations.


6) Expedited Shipping

Expedited shipping (including next-day air) may be available upon request for eligible items. Additional charges apply. Certain products and regulated items may be restricted to ground shipment.


7) Special Orders

If an item is not in stock, we may offer to special-order it from the manufacturer, subject to availability and handling requirements.

  • Special-order items may be subject to a 20% restocking fee if returnable.
  • Some special-order items may be non-cancelable and/or non-returnable depending on manufacturer terms.

8) Return Policy (Product Purchases)

We want you to be satisfied with your purchase. Eligible returns must be pre-authorized by Handpiece Solutions.

Return Eligibility (General)

  • Notify us within 10 business days of delivery and obtain return authorization (RMA).
  • Returns must be shipped back within 30 days of delivery.
  • Returned products must be unused, uninstalled, and in original packaging with all tags, instructions, and inserts.

Fees and Refunds

  • Approved returns are refunded for the purchase price minus original shipping/handling (non-refundable) and a 20% restocking fee, unless otherwise required by law or approved in writing.
  • Customer is responsible for return shipping.

Non-Returnable Items (Common Examples)

  • Dental handpieces are not returnable once opened, the seal is broken, or the item has been used, except where required by law or approved as a verified defect/DOA or warranty return.
  • No returns on items marked special order (unless specifically stated returnable).
  • No returns on customized products (e.g., color, finish, dimensions, upholstery).

Processing Time

Once received and inspected, please allow 1–2 weeks to process approved returns (timing may vary by season and volume).


9) Refurbished Product Photo Disclaimer

Images of refurbished dental handpieces are for illustration. Actual items may vary slightly in appearance due to the refurbishing process, lighting, and screen settings. Refurbished items are inspected and restored to meet our stated standards. Any applicable warranty terms will be provided with the item or invoice/terms.


10) Privacy Policy (Website)

Handpiece Solutions collects information to process orders, provide service, prevent fraud, and improve the customer experience.

Information We Collect

Depending on your interactions with our website, we may collect contact information, order/service history, and device/usage data (via cookies and similar technologies).

Payment Information

Payment information is processed through secure, PCI-compliant payment providers. We do not intentionally store full payment card numbers on our servers.

Sharing Information

We do not sell your email address for third-party marketing. We may share information with service providers who support our operations (e.g., payment processors, carriers, IT vendors) and as required by law.

International Visitors / Data Location

If you access our website from outside the U.S., your information may be processed and stored in the United States.

If an item is unpaid and/or unclaimed for 90 days after we notify you that it is ready to return (or that service is complete), we may treat it as abandoned and may dispose of it as permitted by applicable law to recover costs (including evaluation, labor, parts, storage, and shipping). We will make reasonable efforts to contact you using the information on file.


12) Intellectual Property / Trademark

“Handpiece Solutions” and related branding may be protected by trademark and other laws. Unauthorized use may constitute infringement. We reserve all rights and remedies.


Our website may link to third-party sites. We are not responsible for third-party content or privacy practices.


14) Errors and Inaccuracies

We work to keep our site accurate, but errors may occur (including pricing, product descriptions, availability, and lead times). We reserve the right to correct errors and update information at any time, including after an order is submitted. If a correction materially affects your order, we will contact you.


15) Limitation of Liability

To the maximum extent permitted by law, Handpiece Solutions, Inc. will not be liable for indirect, incidental, special, consequential, or punitive damages (including lost profits, lost revenue, downtime, or loss of goodwill) arising from any purchase, repair, or use of the website, even if advised of the possibility.

Our total liability for any claim relating to a product or repair is limited to the amount paid to Handpiece Solutions, Inc. for the specific product or repair giving rise to the claim. Some jurisdictions do not allow certain limitations; in that case, these limitations apply to the fullest extent permitted by law.


16) Governing Law and Venue

These Policies are governed by the laws of the State of Nevada, without regard to conflict-of-law rules. Any dispute relating to these Policies or transactions with Handpiece Solutions shall be brought in the state or federal courts located in Clark County, Nevada, and you consent to jurisdiction and venue there.

Purchases and repair services are subject to our Policies and any terms provided on your invoice/estimate. In the event of a conflict, the invoice/estimate terms applicable to your transaction control for that transaction.
